Prepare a multi-part request that connects each required item with the engine information, existing reference, quantity, photo and commercial requirement available to your purchasing team.
This is a procurement requirements checklist, not a repair specification. The parts that should actually be replaced depend on the relevant engine documentation and the findings of the inspection or overhaul assessment.
1. Prepare the information that applies to the whole request
Begin with information that helps the supplier understand the request before reviewing individual line items:
- your company name and contact person;
- engine manufacturer and model as shown on the available records or nameplate;
- engine serial number, if available and appropriate to share;
- equipment or vehicle details when they are relevant to identification;
- whether the request concerns one engine or multiple engines;
- destination country and city;
- your preferred response currency and quotation validity requirement, if applicable;
- the date by which the parts are needed at the destination; and
- any packing, marking or document requirements already known.
Attach clear photos of the engine nameplate and the markings on existing parts when they are available. Type the characters into the RFQ as well as sending photos. This makes unclear digits, suffixes or revisions easier to identify during review.
Do not delay the first inquiry merely because every field is unavailable. Mark missing details as “to be confirmed” and explain what source has already been checked.
2. Define the purchasing scope before listing parts
An overhaul request may combine individual components, sets, kits and larger assemblies. Those descriptions are not interchangeable. State which purchasing scope you want for each line.
For example, a buyer may want one component priced individually, a related set quoted as an alternative, or an assembly quoted separately from its service parts. If you use a term such as “overhaul kit,” do not assume that every supplier uses the same contents. Ask the supplier to state what is included and excluded from the proposed supply scope.
- Quote separately: each item must have its own price and availability response.
- Quote as a set: the requested quantity applies to the defined set; the contents must be listed.
- Quote as an alternative: the assembly and individual-component options should not be added together as one required quantity.
- Information requested: the line is included for identification or clarification and is not yet an order quantity.

3. Use one line for each requested item
Copy the blank worksheet below into an email, spreadsheet or purchasing system. Add rows rather than combining several parts in one description.

The “number source” column matters because the same sequence of characters can be copied from different evidence. State whether it came from the old part, engine records, a parts list, a previous invoice or another source. Do not silently convert a casting mark, supplier reference or handwritten number into an OEM number.
Use an unambiguous unit such as pieces, sets or assemblies. If the contents of a set have not been established, add that question in the final column.

Keep the same line number in the worksheet and every associated photo filename. For example, files for line 4 can begin with 04-. This simple convention lets the reviewer connect the request, the marking and the physical item without relying on the email order.
4. Submit the available evidence when a number is missing or conflicts
A missing or conflicting number does not need to become a guessed number. Record the discrepancy and send the evidence that is available.
For a missing number, provide:
- a clear overall photo of the existing component;
- close photos of each readable marking;
- the engine nameplate or engine-record details available to you;
- the component’s location or function stated in plain language; and
- the line-item quantity and unit.
For a conflict, transcribe each number exactly and label its source. A useful note might say: “The old-part marking differs from the number on the previous invoice; both are attached for review.” The supplier can then identify the conflict instead of treating one source as automatically authoritative.
Photographs should preserve readable model and part characters. Rename the files for organization, but do not edit the characters shown on the photographed part or plate. If sensitive serial data must be covered, keep the identification information needed for the inquiry visible and state what was redacted.
5. Add delivery, packing and document requirements
Commercial requirements belong in the same RFQ, but they should remain separate from part identification. This helps the supplier answer both the technical review and the delivery request clearly.
Provide the destination country and city first. Add a port, airport or delivery address only when it has already been selected. If you have a target receipt date, label it as the date you need the goods rather than presenting it as a confirmed supplier lead time.
State any requirements that may affect the quotation, such as:
- individual or consolidated packing preferences;
- export packing or moisture-protection requirements that apply to the shipment;
- package labels, line numbers or purchase-order markings;
- packing-list details required by your receiving team;
- certificate or inspection-document requests; and
- whether freight should be quoted separately or excluded.
Ask the supplier to identify any requested document that is unavailable rather than assuming it is included. Document availability, packing scope, dispatch timing and transport timing should be confirmed in the quotation for the specific request.
6. Run a final submission check
- Engine details are written clearly and supported by available records or photos.
- Every requested item has its own line number.
- Every quantity includes a unit.
- Each reference is paired with its source.
- Missing and conflicting information is labelled rather than guessed.
- Photo filenames match the worksheet line numbers.
- Sets, kits, assemblies and alternatives have a defined quotation scope.
- Destination and target receipt date are stated at the appropriate level of detail.
- Packing and document requests are separated from part-identification questions.
- Contact details and preferred response format are included.
